Responsibilities

Organization 

  • Liaise with clients, particularly investors, and other departments internally and externally to arrange meetings, teleconferences, booking rooms, etc.
  • Work with multiple time zones
  • Record absences for the team; ensuring that all records are up to date on WorkDay (cloud-based software)

Administration 

  • Prepare correspondence, tasks/projects and presentations as required 
  • Handle internal and external telephone calls and queries in a professional, customer service oriented manner
  • Monitor the shared mailboxes, responding to queries and allocating them to the relevant person/department
  • Preparing the Travel and Expenses reports for the Dubai office employees
  • Monthly reconciliation of all expenses, ensuring completion before the cut-off date
  • Book team travel and arrange accommodation and transfers for client meetings / conferences/seminars etc, ensuring the best price is always obtained and that they meet our travel policy guidelines
  • Any other duties as may be required to support the activities of the group 
  • Administration support for the Dubai office and employees such as organising conference calls and meetings for travelling employees when visiting the region
  • Arranging UAE visas, PCR tests, flights, hotels and car transfers for Platts employees as well as travelling colleagues and visitors

Market Outreach & Marketing 

  • Management and maintenance of contact records & interests, tagging, activity levels and reporting around our outreach, marketing and events principally through Salesforce 
  • Providing required support for our events, meetings and distribution activities across the region 
  • Logging data and notes on behalf of the sales team on SFDC (Salesforce)
  • Support the sales teams by building PowerPoint presentations and Excel pipeline reports
  • Work with the Portfolio Business Analyst to support sales activities and follow up

What we’re looking for

  • Previous administrative experience supporting a large department/team
  • First class communication skills (verbal and written) plus a high standard of business letter writing and grammar  
  • Fluency in English (verbal and written), additional languages advantageous
  • Professional and polite phone manner and demeanour and excellent interpersonal skills
  • Self-starter with a high level of personal drive
  • Enjoy working in a fast paced, team environment
  • Flexibility to work on projects and additional tasks as required, sometimes on weekends.  
  • Must demonstrate ability to juggle multiple competing demands and deadlines across a large team
  • Highly organised and proactive
  • Strong knowledge of Microsoft 2016 - Word, Excel, Outlook, PowerPoint
  • Previous experience using Salesforce is advantageous
  • Have a flexible and agile mindset
  • Enjoys social events and a fun office environment
